Planned System Outages in November 2025

The City of Tacoma is in the process of upgrading its primary business and financial software system to enhance internal operations and support future scalability.  

This project is primarily a technical upgrade that will move the City to a more modern operating platform. It will also include several Finance enhancements and replace current call center technology. Customers will not see changes when they access the account portals. The upgrade is to improve service efficiency and to enhance the customer experience. 

As part of this transition, there will be two periods in November when the system will be temporarily unavailable as the upgrades occur. Please be prepared for these scheduled outages:  

  • Saturday, November 8, 2025, from 7 a.m. to 8 p.m. 
  • Thursday, November 20, 2025, at 6 p.m. until Monday, November 24, 2025, at 6 a.m. 

During these outages, the City’s primary business and financial systems—as well as other key internal and external systems—will be unavailable, including: 

  • Ariba: Businesses and vendors who work with the City will be unable to upload or approve invoices through the Ariba system.   
  • Escrow Portal: Escrow companies will be unable to request or receive self-service escrow quotes for properties pending sale.  
  • City Payment Portal: The City’s online payment portal and automated telephone payment system (IVR) for non-utility accounts will be unavailable. Customers will be unable to check balances or make payments.  
  • TPU and Environmental Services Customer Service: Customer service phone lines will be closed on November 21, 2025, for all-staff training on the new system. Check payments can still be left in the secure TPU drop box at 3628 S. 35th Street. Payments will be processed on November 24, 2025. Voicemails left for Environmental Services regarding Solid Waste, Wastewater, or Stormwater utilities will be returned on November 24, 2025. 
  • GIS Systems: Maps updated by Power, Water, and Environmental Services will not refresh during the upgrade. Maps showing installation or notification status will remain static until after downtime.  
  • TPU MyAccount: Tacoma Public Utilities and Environmental Services customers will be unable to access MyAccount to make payments, check account balances, extend due dates, or set up budget billing. Bill reminders and outage notifications will also be paused. 
  • Payboxes: Payment kiosks for Utility and Tax & License customers will be unavailable. Customers will not be able to pay utility bills or business licenses during the outage.  
  • Property Manager: Property Manager Self-Service Portal. Property owners and managers will be unable to perform tenant move-ins or move-outs.  
  • TPU Interactive Voice Response (IVR): TPU Customer Telephone Self-Service. Customers will still be able to report outages but will be unable to access account information (e.g., check balances) or make payments.
